National Society Colonial Dames XVIIC Approved Application Project Instructions
National Society Colonial Dames XVIIC
Approved Application Project Instructions
After logging on our National Website
Go to MEMBERS→a dropdown menu will appear
Click on→APPROVED APPLICATION PROJECT
The Approved Application Project page will appear. From here you may watch an instructional video on how to use the AAP spreadsheet, print an instruction sheet, print the contact information for the National Liaison Team, find the current application FORMS, and look at two examples of attaching applications. Before you start or submit an application, please read the Registrar General, Courtenay Stanley’s 2021-2023 Guidelines For Preparing Applications. A lot of questions can be answered by reading these Guidelines.
Problems Accessing the Project: If you experience problems with the page not “loading” and not allowing you to use the database, you will have to try another computer or download a NEW browser. If you are using Chrome, you might try Microsoft Edge or Firefox. For some reason, your computer’s browser is not up to date enough to use this system. If a Family Tree icon, Forbidden Access appear, you will probably also need to download a new browser, but both problems are on the user’s end. If a “Certificate” appears, deny it, and usually the project will appear.
The AAP spreadsheet will appear with a list of our approved applications. In the upper left corner is a box with “Enter text to search…”. Enter last name, or full name of the Ancestor. Do not prompt the program by using the “enter” key. The program will automatically respond. The screen will appear with the requested name or names. You may also search by using a single letter to prompt all of the Ancestors with last names beginning with that letter.
You may also search by using the boxes below each column header. Example-enter a National Number (lead the number with a “0”) in the box below “National Number”. Use the box below “Colony”-enter a colony (MA) and the Ancestors associated with the colony will appear. The same, as with the last name box and first name box.
If you wish to return to the original spreadsheet, just delete your search request you placed in the various text boxes.
Please remember you may only attach to applications with a National Number #022,000 or higher. This project includes much older applications that can be used for information/reference purposes only. They are great guide sources and will hopefully aid in our genealogical research. Also, you may not use an application that rely solely on Unacceptable Books, which are listed in the 2021 Guidelines For Preparing Applications.
After you have chosen an application, go to the far-right column and click on “Open Document”. Pages 3 and 4 will appear. The toolbar on the top of the screen will enable you to search for specific words, move between the two pages, enlarge/zoom, etc. The section on the right of the tool bar will allow you to print, download and save the document. Your own printer should allow you to print on letter or legal-size paper. Most printers allow you to drop the back section of the paper drawer and use legal size paper. Once you have asked your printer to “Print” you should be able to select the paper size. Letter size is nice for submitting with applications, as long as the application is completely on each page, and not cut off.
Registrar General, Courtenay Stanley, is allowing us to use only pages 3 & 4 to be used as proofs, please MARK on the top of these pages, with the member’s National Number/ Ancestor’s name /Supp (if it is a Supplemental)/Generation # you are using. Example-#022613 Teague/Supp Gen 8-(copy proof line exactly as recorded).
Do not use a member’s name, always refer to the Ancestor you are referencing. Also, reference is it is a Supplemental, as Supp.
Please include the document that links your application to the application you are using. If you are using a Vital Record, place it before the referenced application information. Example-G7 VR; #022613 Teague/Supp-Gen 8(copy proof line exactly as recorded)
If you need the full application (pages 1-4) you would need to order them from our website in the RECORD COPY LOOK UP section for $10.
Please contact the National Liaison Chairman, Kimberley Smith Calaway at AAPColonialDames17C@gmail,com , if you have any questions.
You may also contact your Liaison Team member with questions concerning the AAP or COA-P projects.
